There are many reasons someone might be hesitant to speak up in meetings — fear of public speaking, being afraid of rejection or even worrying about the ramifications of disagreeing with your boss.

These are real challenges that shouldn’t be dismissed offhand. However, it’s a mistake to view them as obstacles you can’t overcome, because sharing your ideas is a critical component to advancement. 

Consider how much emphasis is placed on personal branding and visibility when you’re looking for a job. You update your social profiles, you get yourself out there and network, and maybe you even set up a personal website or begin routinely posting your thoughts on LinkedIn. It’s possible to have a to-do list that energizes you, helps you prioritize your day and motivates you to keep moving forward, even after those inevitable distractions or setbacks. Yet, so many people who write out lists find themselves unable to check everything off by 6 p.m.

And that’s mostly because they’re not making their lists correctly. In fact, many people are habitually killing their own productivity.

Even if you’ve never heard this phrase before, you know who these people are: they sap your energy by focusing exclusively on themselves and not the good of the team. Cover letters are challenging, to say the least. How do you use them to your best advantage? How business-like or personality-filled should they be? Do people even read the stupid things in the first place?

Yes, they read them, especially if you get them in the hands of the right people and draw them in with a compelling opening that’s on point and reflective of your personality. Torture them with robotic sounding blabber, on the other hand? Then you can count on the reviewer taking, at best, a passing glance.

What are some of the worst offenders? Here are five:

1. “Dear sirs”

Greetings. Welcome to 2016. Many, many hiring managers are not, in fact, sirs. When your salutation reads like this, you not only look like you’re drawing from a template from some 1979 business book, you also risk alienating the decision maker in the first two words of your cover letter. Here’s when you can stop signing your emails with ‘best’

You know how it goes. You begin the email to your boss, colleague, client, or HR director with a proper greeting. You cross your Ts and dot your Is, and you conclude the message with a formal signature such as “Best” or “Sincerely.”

The email recipient responds with the same formality, addressing you in a standard greeting, and then writing out a couple of grammatically sound paragraphs before wrapping up the note with a similar signature; maybe it’s “Regards,” or the more casual, “Cheers.”

Since that message requires a response from you, you continue to play along with what you think is the professional way — typing out the full greeting (again), composing the body of the message, and then concluding with “All the best, [Your Name].” You continue to do this after multiple back and forths even though it eventually seems totally pointless and even a little bit awkward.
